How Field Service Teams Can Track Labor Time More Accurately
A technician may work eight hours, but that number alone does not say much about the day.
Maybe two hours were spent driving. One repair took longer than planned. Another appointment finished early. There may also have been time spent picking up parts or waiting for access to a site.
For payroll, total hours may be enough. For field operations, managers usually need a little more detail.
They need to know where the time went.
Why Field Labor Time Is Hard to Record
A field technician moves through several activities in one shift.
Take a fairly normal morning. The technician leaves the warehouse at 8:15, reaches the first customer at 8:50, finishes the repair at 10:20, then drives to another appointment.
If none of those times are recorded as they happen, they have to be remembered later.
That is where the record starts getting less precise.
At 4:30, the technician may remember finishing that first repair at “about 10:30.” Maybe it was 10:20. Maybe 10:40.
Ten minutes on one job is not a major issue. The trouble comes when technicians are estimating several start and finish times every day.
A normal timesheet also tends to hide travel. Four hours on the clock could mean four hours of customer work, or three hours of work plus an hour on the road. Those are not the same thing operationally.

Put the Time on the Job
Consider two technicians who both work eight hours.
One spends six hours with customers and two hours travelling.
The other spends four hours on jobs and four hours driving between locations.
Their shift totals are identical. But if you are trying to understand why only a few jobs were completed, the second record tells you something important.
The technician may not be working slowly. The jobs may simply be too far apart.

This is much simpler than asking someone at the end of the shift to remember six or eight timestamps.
And not every activity needs its own category.
For many teams, the useful split is simply:
- Travel time
- On-site work

More detail only makes sense if somebody intends to use it.
A Better Time Record Changes the Questions You Can Ask
Suppose installation jobs are usually given three hours on the schedule.
After looking at a month of labor records, you find that most take closer to four.
Now the original three-hour estimate deserves another look.
Perhaps installation has become more complex. Maybe technicians spend 30 minutes preparing materials that were never included in the estimate. Or one part of the process keeps causing delays.
Travel time can expose something completely different.
If several technicians are spending more than two hours each day between customers, changing how jobs are grouped may have more value than trying to add another appointment to the schedule.
Overtime is similar.
A report saying “Technician A worked two hours overtime” does not give you much to work with. A record showing that the last installation ran 90 minutes over schedule is much more specific.
The Job Gives the Time Record Context
Labor hours are difficult to interpret on their own.
Four hours may be normal for one installation. Four hours for a repair usually completed in 90 minutes is another matter.
When time records are connected with field service management software, managers can review the labor beside the job type, location, expected duration, technician assignment, and travel.
That can prevent some bad conclusions.
High travel time may point to the schedule rather than the technician. A long job may have been estimated badly. Overtime could come from an emergency call added near the end of the day.
The number is only one part of the story.
What Is Worth Tracking?
There is no need to build a long list of labor KPIs.
Start with the questions the operations team actually wants answered.
For example:
- How many labor hours does each type of job usually require?
- How much travel sits between appointments?
- Which jobs regularly run over their estimates?
- Where is overtime coming from?
- How much of the day is spent at customer locations?
Then look for repeated patterns.
One long repair may mean nothing. The same repair running long fifteen times probably does.
That is when the time record becomes useful for changing estimates, schedules, or job assignments.
